I am performing my duties as Executive Secretary. In Addition to my regular responsibilities I am also fully involved in assisting Resident Manager of Hubco along with the executives. I have worked with HR in developing e-learning task and Green Office Initiative and also has taken up the additional responsibility with admin department for smart learning.
Currently, I am exploring career opportunities for new engagements. I would describe myself as a motivated and challenge loving person. I intend to pursue a demanding career. Work Task Include: Establish a workflow process by creating, organizing efficient response & easy access. Ensure swift and timely management & predictability of plans. Manage all communications & written correspondence, compose, compiles, assimilates, memorandums in response to inquiries on behalf of CEO and prepare documents and coordinate as per requirements. Check LEL official mail and organize distribution. Prepare and draft official letters related to banks, memberships, appointments, meetings, invitations, visa and keep records well maintained. Proactively manage executive diary & plan as far as possible with reminders. Coordinate and facilitate meetings with external and internal officials including confirmation of time, venue, agenda and conference calls. Maintain address book and respond to multifaceted inquiries. Organize settlement of CEO's personal & official expense i.e. medical, travel claims, bills, credit cards, loans, travel-health, general insurances, subscriptions, membership dues, renewals & maintain adequate inventory. Protocol arrangement for official guests while assisting with a broad variety of administrative task. Ensure that all supply stocks, office stationery and consumables are in order. Organize dispatch of seasonal greeting messages, giveaways etc. Coordinate complex and detailed travel plans, prepare itineraries and agendas, booking, visa and other transportation for domestic or international travel, arrange lodging or meeting accommodations for CEO and NVD Team. Perform outdoor assigned duties and keep necessary skills and knowledge current for all work and tasks.
Additional Task & Cross Functioning Include: Facilitate inter-departmental communication by responding promptly to HUBCO Resident Manager's queries. Provide administrative support at various levels, travel arrangement, expense claims, delivery of Hubco letters to various offices at Islamabad. Handle all tasks assigned in addition to other assigned work by CEO.
Cross functioning & smart learning: Work with Admin on various essential task. Maintains and organizes physical and electronic documents, supports in processing of invoices, tracking compliance, procurements, petty cash replenishments, attendance record maintenance, weekly menu and performs other basic office duties as and when assigned.
Work Task Include: Coordinated for promotion of cosmetic and laser products by creating, delivering, editing and optimizing PR Materials. Plan in-house and out-house events to highlight company accomplishments and positive contributions to community. Be the liaison between Cosmetic Surgery Institute and Broadcast Television, Radio, Literary Publications and more. Introduced clients to the value of acquisition, satisfaction and retention strategies. Worked with high profile clients and public relations agencies to develop and execute successful marketing campaigns and embedded advertising strategies. Maintained efficient filing system and record keeping. Developed and organized meetings, conferences, events and promotions for publicity and information purposes. Conduct public opinion and attitude surveys to prepare information materials to increase public awareness served by the institute. Assist in the preparation of brochures, reports and other material.
