As the Senior Services Specialist at Devflovv, my day-to-day responsibilities are comprehensive and involve ensuring the smooth and efficient functioning of all facilities across multiple projects. I am performing all end-to-end tasks by myself to get the ground running. My key responsibilities include:
1. Office Operations & Maintenance
· Office Maintenance: Overseeing regular maintenance of office equipment, infrastructure, and building systems like lighting, electrical, and plumbing. This includes coordinating routine inspections and ensuring all repairs are completed promptly.
· Space Management: Planning and optimizing office layouts to create a productive work environment. Ensuring common areas like meeting rooms, kitchens, and workspaces are well-maintained and properly equipped.
2. Vendor Management
· Food and Catering Services: Managing contracts with food vendors to provide daily meals and snacks for staff. This involves selecting and negotiating with vendors to ensure quality service and meeting dietary needs while staying within budget. Regularly reviewing vendor performance and addressing any issues or improvements needed.
· Transportation and Company Pick & Drop Services: Managing transportation vendors to provide efficient and reliable company pick-and-drop services for employees. I coordinate with vendors to ensure timely routes, vehicle maintenance, and addressing any staff concerns. This also includes negotiating contracts, setting schedules, and ensuring cost-effective transportation solutions.
· Office Supplies and Equipment Vendors: Handling procurement and vendor relationships for office supplies such as furniture, IT equipment, and stationery. I ensure that orders are placed on time and within budget while maintaining a balance of quality and cost.
3. Relocation and Renovation Projects
· Office Move from Thokar Niaz Baig to Raiwind Road: A major project I managed was relocating Devflovv office from Thokar Niaz Baig to Raiwind Road, successfully completed within a challenging 30-day timeline. This included overseeing the full renovation of the new space to meet company requirements and ensuring that the office was fully operational by the move-in date. I coordinated with contractors, designers, and internal teams to ensure every detail—from electrical systems to office layout—was completed on time.
4. Health, Safety, and Compliance
· Safety Standards: Ensuring the office complies with all safety regulations and legal requirements, including fire safety, emergency exits, and regular drills.
· Cleanliness and Hygiene: Managing cleaning staff to ensure the office environment remains clean, sanitary, and comfortable for employees.
5. Budgeting and Cost Control
· I am responsible for preparing and managing the facilities budget. This involves planning for large expenses, tracking ongoing costs, and finding opportunities for cost-saving through efficient vendor negotiations, resource management, and implementing sustainable practices like energy-saving solutions.
6. Employee Support Services
· Transportation Services: Ensuring that transportation services for employee pick and drop run smoothly and on time. Handling any issues related to vehicle maintenance, route planning, and employee safety.
· Food and Beverage Services: Monitoring the quality of food and beverage services for staff, addressing any complaints, and ensuring that vendors maintain high hygiene standards.
7. Project Management for New Initiatives
· Managing additional projects like the Hatchery and others, ensuring
that these initiatives run seamlessly and are in line with company goals. This includes coordinating with various departments and external partners to facilitate project success.
In essence, my role at Devflovv revolves around ensuring the office runs efficiently, employees have the services they need, and projects are completed on time and within budget. 8. Team Management
· Managing a team of admin assistants, office boys, fleet drivers, cleaning staff to achieve optimal service level for all employees.
9. Electrical equipment maintenance
· This includes checking of generator oil levels on a daily basis and UPS checks to ensure trouble free operations during the day and night.
10. Assisting CEO and other C-Suite executives
· I am working under close supervision to company CEO and other C-Suite executives for:

● Market visits such as Hafeez Center and Hall Road to purchase equipment i-e laptops, keyboards, mouse, and other accessories as per received PR.
● To take care of office operations such as Office repair & maintenance, Office staff, Drivers, and company transportation.
● To keep the conference room and other office areas such as lounge, Kitchen, Prayer rooms, Huddle rooms, Employee work areas well decorated, maintained, and cleaned by supervising office staff.
● To ensure company-provided services such as Lunch/dinner is served while following the proper ethics and as per provided timetables.
● Taking other day-to-day tasks from the company CIO and their completion.
● Maintained a database of all assets (New, Replaced, Repaired etc) in Excel for company records.
