Procurement:
- Ensure correct and timely procurement of all items including purchase of medical and general store items for project. Ascertain and recognize the need for various items.
- Verify purchase orders and work orders according to quotations as mentioned in the TIH Purchase Manual & Global Funds process.
- Ensure availability of all material needs at the most economic cost and minimum time frame.
- Inspect receipts, process rejections and discrepancies and its resolution.
- Inform concerned teams of the delivery schedule.
- Review items regularly against purchase orders to ensure quality, make and quantity.
- Maintain list of approved vendors and suppliers. Liaise between outside contractors/vendors and internal users; negotiate with suppliers/vendors with regards to price, warranted and after sales service as necessary.
- Verify prices of items regularly: compare prices on purchase orders and approved price lists, maintain list of approved vendors and suppliers.
- Maintain records for Purchase Orders and Work Orders; prepare comparative statements, if needed.

Warehousing / Inventory Management & Distribution:
- Analyze issuance patterns and perform statistical analysis to develop and maintain SKU level minimum and preferred stock levels for each of our products.
- Optimize inventory levels and tracking to meet grant targets, operational, product, and financial/accounting needs.
- To Manage the day-to-day operations of the warehouse.
- Conduct baseline stock inventory of warehouse & Ensuring the proper receipt and storage of all received commodities.
- Ensuring the prompt entry of all orders & the correct picking, packing and distribution of orders;
- Identifying and implementing process changes as required to ensure more efficient operations of the warehouse;

1. Process purchase orders and procurement contracts in accordance with The Indus Hospital Purchase manual, policies and procedures.
2. Budgeting, costing and cost saving after reviewing the management information available for management.
3. Develop and prepare technical and legal contracts including long-term agreement (LTA) with suppliers for review. Carrying out Vendor Contract activity on yearly basis by taking quotations and negotiation to gain maximum credit facility from the company & Negotiates favorable contractual terms and conditions with suppliers under the supervision of HOD.
4. Procurement of Direct & In-Direct material like General, Pharmaceuticals, Medical & Surgical, Dental accessories, Vaccines, Lab items, OT supplies and Dispensary items etc by placing Purchase Orders (POs) to approved vendors/companies.
6. Arrange quotations from vendors as and when required by the line manager, prepare the comparative analysis of quotations, prepare comparative statement and get approval from authority.
7. Work on Bill of Material and make analysis report about the required item for negotiation process.
8. To look after all the activities of the import supplies i.e. Purchase order, remittances / Letter of Credit (LCs) opening & arranging the shipments for the in time arrival of material.
9. To co-ordinate with finance/clearing agent for the in timely clearance of the imported goods/material after the arrival of the goods.
10. Vendor / Supplier Management including identification, selection, and vendor performance evaluation time by time by visiting their premises in order to check their premises, storage conditions, environment and distribution system. Developing long-term relationships with suppliers.
11. Delivers on cost reduction commitments through the identification, development, and execution of strategic sourcing initiatives. Working on Cost Cutting/minimization for the benefit of the organization.

SUPPLY CHAIN (PROCUREMENT)
- Smooth Supply Chain Management from Vendor to warehouse and from warehouse to respective units without any delay.
- Procurement of all types of Pharmaceuticals, Medical & Surgical, Dental accessories, Vaccines, Lab items, OT supplies and Dispensary items etc by placing Purchase Orders (POs)to approved vendors/companies.
- Purchasing volume of around 30 millionper month with almost 500 SKUs.
- Vendor Management including identification, selection and vendor performance evaluation time by time by visiting their premises in order to check their premises, storage conditions, environment and distribution system.
- Developing long term relationships with suppliers.
- Carrying out Vendor Contract activity on yearly basis by taking quotations and negotiationto gain maximum credit facility from the company. Working on Cost Cutting / minimization for the benefit of organization.
- Closely checking market trends through market intelligence and developing procurement strategies.
- Provision of complete Drug Information to Physicians, Nurses, Pharmacists and other allied health professionals.
- Routinely checking end user’s satisfaction level from the product.Need Assessment for alternatives in case of non-satisfaction by end user.
- Assuring that all procurement activities comply the SOPs/ Purchase Policy.
- Keep coordination with Finance Department for ensuring payments are timely made against provided shipments.
- Closely monitoring lead time analysis.Ensuring that there is complete controlling in all procurement activities and thereby distribution of supplies to destination.
- Ensuring the integrity and security of supplies while storage and transport. Checking for insurance.
- Re-order level maintenance, Stock out Prevention,Shelving and traceability etc.
- Making analytical reports like Purchase Saving Reports, Supplies Consumption Reports, Burn Rate Report, Customer Satisfaction level, Stock out Report etc.

SUPPLY CHAIN OPERATIONS (INVENTORY AND WAREHOUSE MANAGEMENT)
1. Ensure the maintenance of medicine stock and storage as per organization drug management guidelines.
2. Ensure that accurate and complete accounting, reporting and internal control mechanisms are in place and that all relevant records are properly maintained.
3. Maintaining and issuing inventory report, entry and exit status report, consumption report, and manpower status report to the Program manager.
4. Prepare weekly, Monthly & Quarterly consumption plans & reports for next Consignments.
5. Assess availability of space on warehouse and prepare stocking/storage plans prior to consignments. Monitor quantity and expiry dates of medicines stored in warehouse & MDR-TB Pharmacy & Maintain the stock and the minimum stock level of medicine as per consumption.
6. Developed a system of inventory record keeping and control to detect any shortages or discrepancies in inventory items at the earliest possible time.
7. Coordinate incoming and outgoing stock, deliveries and logistics operations.
8. Conducting periodical warehouse house internal audits & Taking the responsibility of the stock and security of the warehouse.

IN CHARGE PHARMACIST:
