·Responsible for handling all routine administrative matters of the regional office.
·Maintain building/premises while assuring that all appliances, fixtures and furniture, fixed Asset are properly logged, documented and maintained.
·Ensure movement of fixed asset if any is properly documented, coordinated and with due approval of Administration, Head Office as per policy.
·Ensure logbook is being daily maintained and countersigned on daily basis.
·Ensure generators are in good running conditions and timely maintained. Prepare monthly consumption sheet and submit to Administration for information.
·Manage regional store, related inventory/stocks and maintain all departmental records.
·Effectively supervise and monitor performance of support staff i.e. Sweeper, Office Boy, Driver, Security Guards etc. Verify their overtime sheets (if any) and send to Payroll for payment.
·Prepare, check and process miscellaneous expenses/vouchers for reimbursements/payments for Regional office expenditures.
·Coordinate with Supply Chain, Head Office and ensure timely procurement of office supplies, office stationary, other inventory items etc.
·Prepare monthly consumption sheet of supplies for submission to Administration and Supply Chain.
·Ensure timely renewal and cost effective negotiation of service contracts, tenancy agreements
·Other miscellaneous administrative agreements/contracts in consultation with Supply Chain.
·Prepare and reconcile official account meant for office maintenance expenditure.
·Maintain petty cash and keep record.
·Prepare monthly report and share with Administration.
·Assist in organizing meetings/events/training sessions and making logistic arrangements at Regional level as and when required.
· Assist in Administrative activities.
· Arrange interviews for candidates.
· Supervision task for arrangements of inspection.
· Report to DGM (HR & Admin)
· Labor affairs,
· Pay roll & Allowances.
