I am a science graduate and over Ten Year’s experience on executive positions in Government and Private sectors like worked as Persoanl Secretary to Federal Minister & Director in Ministry of Energy (Power Division) Government of Pakistan Islamabad. Currently I am working as Executive Coordinator to Senior Vice President in Gulberg IBECHS.
Provide administrative clerical, secretarial and front desk support
1. Make schedule of meetings, appointments and conferences and closely review the changes occurs during this time and inform to director.
2. Make all arrangements of meetings, events and conferences.
3. Composing and preparing presentations, reports, letters and Office memorandums.
4. Answer and filtering the telephone calls and redirecting as required.
5. Respond all queries efficiently.
6. Responsible for receiving & dispatching of mail, photocopying, faxes and email the documents.
7. Make travel arrangements for director and other executives; also make documents for reimbursement of expenses occurs during travel or visit.
8. Responsible for record keeping and filing system.
9. Provide high profile customer service to all visitors.
10. Maintain office supplies stock and other stationaries items.
11. Prepare monthly attendance report of the department employs and present it to director.
12. Review the complaints forward from employers, press and public officials and take necessary actions.
13. Keep in touch with inter department and other government institutions.
14. Responsible for general book keeping.
15. Provide logistic support to overall department.
16. Act as representative in absence of Director.
17. Translating documents in English and Urdu and provide the service of proof reader in important documents.
18. Assist the director for all engagements and keep the record of the engagements and ensure that director schedule is followed.
19. Supervise the subordinates activities and keep it right way.
20. Attend and receive the foreign delegations and arrange their stays in hotels.
21. Responsible for bank relationship.
22. Brief to director on outstanding cases and provide periodic status.
23. Assist director in day to day administrative and financial affairs of the organization.
24. Fully conversant with official software and also office equipment.
25. Any other task assigned by director.
