HR Operations:

Ensuring compliance with organization’s rules and regulations and meeting all requirements and deadlines pertaining to HR in a timely manner. Making sure that all the tasks done are according to the organizational policy and SOPs.
Archiving of all the HR documents including personnel files, making sure that all personnel files are complete.
Preparation and dispatching of important documents like job offer, contract, extension addendum, termination letters, bank account opening letter, relocation addendum, and experience certificates etc. to their relevant base offices
Regularly maintaining and ensuring that all the HR databases are up to date including Recruitment tracker, Leave tracker, Probation Tracker, Health Claims tracker etc.
Supporting in preparation of monthly Staff Payroll. Making sure that all the change in payroll documents are shared with the supervisor, all the additions and deletions of staff are made without any errors, and reviewing the payroll to identify any errors.
Processing of monthly salary advance requests for all staff.
Preparing and disseminating of monthly salary slips to all staff.
Receiving the Health insurance data from the newly joined staff and coordination with insurance companies for their enrollment in Health & Life insurance plan.
Timely submission of health claims of staff to the health insurance company. Making sure that the claims are valid and the documentation is complete.
Extension, addition, and deletion of staff and their dependents from health insurance coverage. Making sure that all the new and extended staff receives their health insurance cards
Prepare quarterly invoice for the health insurance plan and sharing with the finance department to make the payment to the health insurance company.
Maintaining EOBI portal for staff of all bases every month. Making sure that EOBI payments are timely made and staff addition and deletions are made to the employee record on the portal with no errors.
Preparing and timely submission of HR Department SitRep with the program team.
Participate in the policy revision process by providing support in data collection, ideas sharing, identifying areas of improvement and writing drafts.
Disseminate important information to all staff.

 Administration:

Coordination with logistics department for procurement of office supplies and equipment, travel requests, organizing staff activities and trainings, hiring of daily wage human resources and printing of employee cards, making sure all the new joiners timely receive their employee ID cards and all the activities take place smoothly.
Planning and organizing monthly staff meeting in the country office and other all staff engagement and wellness activities in collaboration with Finance and Logistics department.
Providing support to security department in provision of relevant documents and staff information required by security and government authorities.
Collaboration with Logistics and Finance department to arrange procurements of services (preparing and advertising TORs, preparing daily wagers service agreements etc.)
Acquiring of petty cash from Finance department to fulfill day-to-day departmental needs.

Recruitment:

Coordination with all hiring managers for latest employee requisition forms. Coordination with the finance department to make sure that there is sufficient budget for the requested position.
Supported hiring managers in reviewing and finalizing Job descriptions; ensuring that JD is available before opening a position for advertisement
Preparation of job advertisements and posting them internally and on external portals.
Longlisting of relevant profiles and screening of their CVs
Making sure that all shortlisted CV’s are graded properly as per the grading tool defined as per the job description before sharing with the hiring managers for the shortlisting
Scheduling and making interview calls to the shortlisted candidates. Making sure that the interview panel is available on the interview day and sharing the interview plan with the interview panel.
Participating in the interviews and representing HR department on the interview panel.
Preparing the final comparative result by coordination with the panel members.
Carry out proper reference/background check process for the selected candidates.
Coordinating with finance department for budgeted salaries & negotiating salary with the staff once offered job.
Ensuring that all job offers are as per policy and appended with all benefits and guidance documents required by the employee before joining.
Ensuring that contracts should be prepared before their joining.
Smooth on boarding of the new staff and making sure that they properly fill out the joining documents and also provide authentic documents (including experience and educational credentials) required at the time of joining.
Conducting orientation session for the newly joined staff and familiarizing them with all the HR policies of the organization including Code of Conduct, Personnel policy, Health Insurance policy etc.

Performance Management:

Ensuring that all positions’ up-to-date Job descriptions are available and shared from the hiring managers.
Ensuring that probation evaluation of the newly joined staff is timely done and submitted to the HR department and objectives have been set for staff by their line supervisor for future performance evaluation.
Coordination with staff in country office and field offices to make sure that probation evaluations are timely done and submitted to the HR department.
Coordination with all departments for performance appraisal activities. 

Training and Development:

Carrying out Training Needs Assessment among the staff and preparing annual training calendar. Keeping track of the training needs shared by all staff and coordination with senior management for planning and executing training of employees.
Delivering orientation sessions to the newly joined staff.
Led and delivered interactive training session for staff.
Assist in arranging the logistics and funds for staff training sessions.
Preparing and advertising TORs for hiring of external trainers.

Exit Management:

Carry out the clearance process for the staff leaving the organization (Clearance, exit interview, handover, discharge of liabilities, issuance of experience letter etc.)
Preparation of Discharge of Liabilities document of the leavers and share it with the finance department with complete supporting documents for disbursement of final settlement dues of the exiting staff. 
Make sure that the personnel files of the leaving staff are complete before they leave the organization.
Preparing and sharing the experience letters with the leaving staff.
