I am primarily responsible for the effective coordination and documentation of projects funded by the Bill & Melinda Gates Foundation (BMGF), adhering to Mercy Corps’ program standards. This involves meticulous collection and maintenance of all project-related documents, ensuring they meet the required standards. I provide substantial assistance to technical staff in the preparation of various program documents, including scopes of work, procurement documents, letters, and purchase requests. A significant part of my job entails the timely collection of data, which I then furnish to the Project Manager for detailed analysis. This process is crucial in guiding decision-making and ensuring project objectives are met. Furthermore, I am tasked with preparing progress reports, an essential component in maintaining project transparency and accountability. My role extends to supporting the team in administrative tasks such as developing and submitting timesheets and expense reports, which are vital for efficient project management and financial tracking.
My responsibilities also encompass logistical support for meetings and events, including staff review meetings and interactions with key stakeholders, ensuring these are conducted smoothly and effectively. Coordination with the field team is a critical aspect of my job, as it involves ensuring the alignment of field activities with the broader project objectives in close collaboration with the Monitoring, Evaluation, and Learning (MEL) team. In this capacity, I support the MEL team by facilitating the collection of implementation plans and status updates from the field, which are instrumental in tracking project progress. Proficient in managing MS Project Software, I am responsible for planning, tracking, and evaluating project progress, ensuring we stay on course to meet our goals. Keeping clients updated on project implementation and progress is also a key responsibility, fostering transparency and strong client relationships. Additionally, I am skilled in using DHIS2 and MIS for data management, creating user credentials, and resolving application-related issues, which is integral to the successful monitoring and evaluation of our projects. My expertise in these systems underscores my commitment to leveraging technological solutions for enhanced project management and outcome evaluation.
My responsibilities have included assisting the supervisor in collecting primary and secondary data for various reports, external communications, and presentations. I have supported the project lead in daily activities and tasks, and played a key role in developing communication products such as reports, meeting minutes, and other related tasks. My coordination efforts extend to organizing program review meetings, training sessions, seminars, and workshops, and maintaining close collaboration with the Quetta team to monitor workplan progress. Additionally, I have reviewed various documents and assisted the team in compiling updates and reports. My role also involves supporting the Program Unit with various administrative tasks as needed, coordinating field visits, and managing project documentation. Furthermore, I have facilitated events and trainings, ensuring meticulous record-keeping and documentation, including Budget Versus Actuals (BVA) analysis, and have been responsible for raising Purchase Requests (PR) to support project activities.
