PATIENT CARE
· To conduct a detailed patient round of the hospital daily without DMS in morning and evening Shifts. Discuss the findings with Hospital Director.
· Toreport submit Serious /Critical /Emergency patients to Hospital Director /MS and get guidance on their further action.
· To ensure that Patients are treated without any lag time and Staff is both attentive and courteous.
· To devise and implement a strategy for increasing admissions in the hospital and improve care facilities.
· To gather patient feedback and suggest management solutions to fill the gaps.
· To increase the number of tests and diagnostics through facilitation of patients by removing bottlenecks in the flow of service.
· To check if Hygiene and cleanliness of the Hospital areas are up to the mark. In case of observations it must be notified to the Cleaning supervisor and rechecked for proper compliance before the end of the shift.
· All Patients should be attended by Duty doctor and where required by specialists round the clock. The Manager is responsible to send a call through the duty doctor to the specialist for timely review by Specialist and ensure that the ON CALL or DUTY Specialist attends to the patient.
· To Follow the SOPs laid down by the Hospital to ensure smooth running of all systems in the hospital pertaining to Hospital Infection Control, Labor Room, Operating Theatres, CSSD,ICU, CCU, RECOVERY CLINICAL LABS, VENTILATION ROOM.
· To reduce any unwanted delays in Surgery lists by facilitating the patient and doctors.
· To encourage more poor patients to seek medical and surgical help in Avicenna Hospital by creating a positive experience for patients.
3RD PARTY AUDITS/INSPECTIONS
· To act as Management Representative for both Morning / Evening Shifts.
· To understand and Follow the Standards laid down by PHC, ISO, PMDC, and other regulatory bodies.
· To prepare for and facilitate & Conduct 3rd Party Rounds i.e. ISO QMS, PHC, PMDC, UHS.
· To maintain proper documentation in Soft copy and Hard copy for all 3rd Party audits.
· To conduct training of staff in house and outsourced trainings necessary like Dengue Awareness necessary for compliance requirements of Health department, PHC, ISO,PBTA,PNRA,PMDC etc.
· To Prepare minutes of meetings related to PHC and ISO on Monthly basis.
· To maintain Proper files and correspondence with PHC, ISO QMS, PBTA, PNRA and PMDC in duplicate.
· To Maintain the Audit reports and Observations by auditors for compliance and improvement.
ADMINISTRATIVE/ DISCIPLINE/MARKETING
· To Mark His attendance biometric at time of arrival / departure. Morning shift 8am to 5 pm, Evening shift 12 Noon to 9 pm.
· To check OPD, Clinics are attended by specialists and report on any one who is missing /absent.
· To Process Company Bills, get approvals from company, dispatch and maintain a register of Corporate cases treated (at Private Wing) on daily basis for Insurance and Corporate Credit clients/Panel companies.
· To Prepare the Pitch and Brief with Schedule of Rates & Facilities for Corporate Clients meet them and increase corporate clients for Private Wing.
· To check ON Call Roster of each department and point out bunks& Missing Doctor / Specialists.
· To act as Management Representative for both Morning / Evening Shifts.
· To report the Findings of the round to Hospital Director and also update them in whatsapp group.
· To check all Nurses, Ward boys, X-RAY technicians, Lab attendants & Doctor are available at their designated place of duty as per Roaster.
· To attain knowledge of Schedule of Rates and Facilities for Corporate Clients and to attend them and increase corporate clients for Private Wing.
· To Check Uniform and Hygiene of the Cleaning staff and advice their managers to improve them as required.
· To Monitor the frequency of Diagnostic Tests and do Hospital Marketing to increase the income of hospital by encouraging in house doctors and outside doctors to refer tests to Avicenna Hospital.
· To devise and implement a strategy for increasing admissions in the hospital and improve care facilities.
· To generate System of Free and Paid Patients through word of mouth and person to person contact with Government Hospitals and nearby Communities.
MAINTENANCE
· To report the malfunction of any equipment to the Maintenance department and update the progress to the Hospital Director.
· To prepare summary of any faulty equipment that is non-repairable for replacement.
· To maintain the log of Preventive maintenance of Equipment and Calibration for the Hospital and Colleges.
· To Review if Crash carts, Cupboards are properly maintained by the Nursing Staff.
· To prepare summary of any faulty equipment that is non-repairable for replacement.
· To make sure that Pest Control and regular Mosquito/Fly Sprays Schedule is being followed and effective.
· To highlight and coordinate with Construction engineer and Maintenance Manager for hospital building works.
PROGRESS REPORTS
· Urgent Matters must be reported to Chairman and Hospital Director.
· Daily Progress reports must be reported to Hospital Director.
· All ISO and PHC related work shall be reported to Hospital Director. Over all summary will be shared on monthly basis with the Chairman after discussion with the management team to include DMS, Unit Manager and Hospital Director.
· Reports for Maintenance team be communicated in person to the Maintenance Team, Vendor for Repairs and documented. In addition it must be shared on the “whatsappBIOMEDICAL MAINTENANCE GROUP”
· Followup on the Maintenance of Emergency and Other Medical Equipment is critical and need to be shared on daily basis with Hospital Director.
· Weekends and Holidays will be split between both Managers and one will cover the other in absence. Both Managers will not be given leave on the same day.
· Manager will be expected to carry out any additional tasks given by the Chairman, Co-chair persons or Hospital Director.
