Job Purpose:

The incumbent will provide finance related operational services in line with organizational policies and donor’s guidelines under the overall umbrella of finance department.

KEY RESULT AREAS 

Technical Level

  • Data Archiving in Soft & Hard
  • To keep finance record (soft/hard) and to assist in analyse financial reports for accurate information.
  • Assist to maintain Supporting of Financials
  • To Assist proper accounting, book keeping and financial of the Programme & Compliance and budget coding on vouchers
  • Assist to keep all financial and administrative records properly maintained and documented.
  • Assist to Finance Officer/Area Finance for Internal & External Audits.

Operational Level

  • To Assist Record management (both soft & hard) related to job role.
  • Working knowledge of MS Office, Outlook, ERP systems and other IT Equipment’s (Printer, Photocopier, Scanner)
  • Communication, Planning & Scheduling, Time, Stress & Conflict Management, Situation handling, Leadership Skills, Work load & team management

Organizational Level

KEY ACCOUNTABILITIES

The following are the main responsibilities that the role holder will be accountable for:

Technical

  • To assist in scrutinize & compliance check the invoices raised by suppliers and record them in ERP System or Ammanah System currently in use of IRP.
  • Assist in Make petty & bank payments with proper review & Authentication
  • bSecuring petty cash and its reconciliation on weekly basis and replenishment.
  • Review all payments as per IRP Financial guidelines and SOPS.
  • Assist the accurate preparation of cheques, deduction of applicable taxes.
  • Calculation of tax and assist in submission of Taxes in the govt. treasury as per law.
  • To assist delivery of cheques to the suppliers/Concerned person.
  • Assist in Maintain proper log of all used & unused cheque books & Receipt books
  • Assist to recording of all transactions of expenses & taxes in ERP System.
  • Tracking of all advances to ensure return within prescribed time.
  • Assist to issuance of details of transactions and explaining their nature to the relevant project staff.
  • Assist to contact with bankers and Area Finance
  • To assist for liaising with Area Finance answering queries on financial matters and guidlines.
  • Maintain up to date Filing system of Finance record with proper files, indexing and security.
  • Assist to liaise with the IR’s bank as directed by the Finance Office/Area Finance Lead including reconciliation of bank statements.

Operational

  • Assist in preparation & record management of financial record/information so that may be accessed by relevant individuals as & when needed.
  • Preparation of daily, weekly, monthly and other progress reports for management’s info.
  • To Assist proper filling of forms & formats as per desired standard
  • Close coordination with Field Office Lead/District Coordinator & Finance Officer for effective implementation of policies / guidelines.

Organizational

  • Assist to ensure compliance with IR’s policies & procedures in true spirit for effective delivery of services.
  • Understanding of IR values and their demonstration in real time.
  • Abide by the IR zero tolerance policy towards bribery & corruption as well as sensitize others on coping mechanism so that they can raise voice as & when feel inappropriate.
  • Thorough knowledge of IR strategic priorities & the way you can contribute in its achievement.
  • Assist in identification & documentation of organizational successes for show casing IR work
  • Facilitate the organizational stance on clime change through adaptation of environment friendly & cost effective approaches in your domain.
  • Respect & promote the organizational stance on work force diversity & support the efforts being made for mainstreaming of marginalized groups i.e. Persons with disability and old age, minorities, Women & children etc. in carrying out organization activities.
  • Assist to ensure periodic field visits to witness the challenges and implementation of activities at ground level.
  • Assist to participation and facilitation in implementation of IR seasonal programmes.
