The sales / operation coordinator plays a crucial role in the efficient functioning of the business. This position involves a combination of administrative tasks, student enrollment management, communication handling, and sales support. The role extends to actively generating leads and supporting sales efforts. The coordinator is responsible for maintaining databases, tracking attendance, managing inquiries, handling financial reports, and ensuring a positive customer experience. Additionally, the role involves addressing and resolving issues related to tutors and students, coordinating with teachers, and implementing strategies for student retention and acquisition.

Key responsibilities:

  • Admin tasks
  • Coordinating current and previous students
  • Maintaining database
  • Keeping track of student’s and tutor’s attendance and ensuring the hours are completed on time.
  • Keeping reports on financials

Communication:

  • Handle customer inquiries and resolve issues promptly.
  • Provide exceptional customer service to enhance the reputation of your business.
  • Solving admin issues such as tutor not responding, tutor not responding etc.
  • Act as point of contact for student inquiries and concerns
  • Communicate important information to students and teachers.
  • Handle any unforeseen issues during classes.
  • Address and resolve conflicts among students, parents or teachers.

Student enrollment:

  • Onboarding new students
  • Managing inquiries and scheduling trial classes (ensure they start and end on time)
  • Handle rescheduling and cancelations as needed.

Payments and billings:

  • Handle invoicing and billing processes for each student monthly
  • Follow up on overdue payments and resolve payment related issues.

Feedback/support:

  • Collecting regular feedback from students and parents
  • Collect feedback from tutors for parents.
  • Coordinate with teachers to ensure they have necessary materials and information.
  • Conduct periodic reviews of online classes. (Quality control)

Sales and customer acquisition:

  • Cold calling and sales generating
  • Student retention
  • Suggest strategies to attract students.
