Responsive Communication: Responding to emails within the same or next day, particularly for bulk purchase inquiries.
Price Negotiation & Delivery: Managing initial price and delivery date negotiations for bulk fabric orders.
New Fabric Codes & SOP: Opening new fabric codes as needed and adhering to SOPs.
Supervision of Bulk Requests: Overseeing bulk requests from Merchandising and coordinating with suppliers.
Purchase Order Management: Reviewing daily pending purchase reports, issuing POs, and sharing them with suppliers within 24 hours.
Stock Management: Daily review of free stock allocation in Work Orders, ensuring free stock is considered before new bookings.
Budget-Conscious Payments: Coordinating payment processes and arranging shipments within budget, conducting weekly PPC meetings, and clearing aging payments.
Stock Level Monitoring: Notifying senior management of stock levels and coordinating shipments as necessary.
Daily Arrival Planning: Collaborating with the Fabric Store on daily arrival plans and SOP compliance.
Advance Headers Arrangement: Coordinating advance headers with the FID, as per SOP requirements.
Weekly PPC Coordination: Providing weekly arrivals and commitment dates to PPC every Friday and aligning shipments with planned dates.
Data Preparation for Meetings: Preparing departmental reports and data for meetings.
Proactive Delay Management: Anticipating potential delays, taking steps to prevent them, and working with stakeholders to manage alternative orders for smooth production.
Monthly PPC Planning: Coordinating with PPC for monthly planning, sharing planned dates by the 20th of each month.
Lining Stock Management: Managing lining stocks within defined limits.
Board Walks & Material Requirements: Overseeing bookings and follow-ups according to demand and material needs.
Supplier Reconciliation: Organizing ledgers and reconciling with each supplier by the 10th of every month.
