The Executive Secretary will be responsible for assisting our executive team in managing their daily schedules, coordinating meetings and travel arrangements, and handling a variety of administrative tasks. The ideal candidate is a professional and self-motivated individual who can work efficiently and effectively in a fast-paced environment.
Key Responsibilities:
Calendar Management: Maintain and organize the schedules of the executive team.
Travel Arrangements: Plan and book travel itineraries, including flights, hotels, and ground transportation.
Prepare travel documents and ensure the executives have all necessary information for their trips.
Communication Management: Manage and screen phone calls, emails, and other forms of communication.
Draft and proofread correspondence and reports for the executive team.
Meeting Coordination: Prepare meeting agendas, materials, and presentations.
Arrange meeting logistics and attend meetings to take minutes and follow up on action items.
Document Management: Maintain and organize important company documents, files, and records.
Ensure document confidentiality and proper version control.
Administrative Support: Handle general administrative tasks, such as photocopying, faxing, and data entry.
Manage expenses, reimbursements, and petty cash as needed.
Special Projects: Assist with various special projects and research tasks as assigned by the executives.
