This position sits in the Recruitment, Engagement and Growth division of Adventus where a 'one team' approach is required working alongside colleagues in sales, business development, customer experience and shared services. Your Position

The Regional Admissions Manager is responsible for overseeing all admissions processes in the hub and, identifying, recommending and contributing to visa and compliance processes and systems in the hubs. 

The manager is also responsible for ensuring that their team is motivated and developed and  meeting SLAs and the end to end requirements of their responsibilities.

Additionally, they will work closely with key internal stakeholders to build collaboration and identify training and customer needs to oversee performance and alignment with strategic goals assigned to the hub. Also identifying, recommending and contributing to the development of improvements to the hub’s QCV policies, processes and systems, are a core component of the role.

Your Backstory

  • 5 years work experience within the international student recruitment industry.
  • Strong knowledge of the regional, international education systems for the region.
  • Previous experience handling international student application cases from start to completion.
  • Experience of using computerized systems/databases to achieve work goals and tasks.
  • Proven experience within an international education related role, preferably within an International Admissions environment.
  • Familiar with Salesforce
  • Excellent attention to detail and able to interpret and follow prescribed processes, recognizing when to seek additional guidance from more experienced team members.
  • A strong collaborator who works well with other teams in Admissions and the wider business. Openly shares information with others on a regular basis.
  • Excellent communication skills, both written and oral.
  • Demonstrates a growth and continuous improvement-mindset – open to feedback and acquiring knowledge.

Your contribution

  • Oversee all admission, support and quality check levels in an application and to perform general office administration duties and to assist with the efficient running of the visa operation in the hub.
  • Develop admissions strategies to build world class services for the stakeholders in the hub.
  • Assessing /supporting stakeholders regarding visa lodgements and related inquiries for all destinations. Support the wider teams as the regional subject matter expert and provide continuous coaching, mentorship, support and engagement to the team.
  • Assessing referrals for integrity checking, carrying out integrity interviews and undertaking investigations for integrity checking.  Ensure that all of the information provided by the stakeholder is accurate and correct, preparing and checking all legal documents.
  • Monitoring the reports, case and interview notes, correspondence prepared by the team in relation to visa and compliance matters which are also not limited to dealing with client queries by phone, email and in person, maintaining accurate files, electronic and other records.
  • Willingness to travel and represent the company as required.
  • Identify, recommend and contribute to the development of improvements to admissions policies, processes and systems in the hub. Keeps informed of laws, regulations and SOPs related to visa cases.
  • Develop KPIs for the team around processes, quality, and stakeholder satisfaction and lead the daily operations of admissions ensuring alignment to KPI’s and strategic plan and within agreed service levels.
  • Setting daily/weekly and monthly KPI/TAT and communicating these to the team; ensuring regular reviews are undertaken to assess performance, and productivity of the team. 
  • Manage complex problematic cases and proactively follow up with key stakeholders to achieve efficient and accurate resolution for recruiters to exceed their expectations. Also collaborate with cross-functional teams and execute processes, when required.
  • Maintain strong links and relationships with key stakeholders to be aware of industry trends and challenges
  • Make sure that the team is providing excellent customer service to all internal and all external clients with a focus on  professional, accurate and timely responses. Also proactively collaborate with key internal stakeholders to manage any feedback or issues/incidents.
  • Maintain a deep working knowledge of Adventus University portfolio and relevant industry knowledge.
  • Meet (face to face and/or on-line) regularly with the university training team where required. Conduct regular technical/product training to the admission team and onboarding of new team members  
  • Accurately maintain databases; organize and maintain files and records, electronic and physical. Produce  and develop reports as required to produce data-driven actions with regards to particular universities, recruiters or geographic regions. Supporting the senior management teams with management reports and special projects.
  • The post holder must maintain the confidentiality of information and meet the requirements of the organization’s Data Protection and privacy policies at all times.
